Terms & Conditions

These terms govern the use of Heirloom Ledger's educational workshops and archival project services. Please read them carefully before engaging with any of our offerings.

1. About These Terms

These Terms and Conditions apply to all services offered by Heirloom Ledger, operating from Suite 4A, Lebuh Pantai, 10300 George Town, Penang, Malaysia. By registering for a workshop or engaging a project service, you accept these terms in full. If you do not agree with any part of these terms, please do not proceed with a booking.

These terms may be updated from time to time. The version dated above reflects the current terms at the time of writing. Continued engagement with our services after any update constitutes acceptance of the revised terms.

2. Nature of Our Services

Heirloom Ledger provides educational workshops, organizational support, and archival project assistance. All services are of an informational and practical educational nature. Specifically:

  • Our workshops teach cataloging methods, descriptive writing, and archival labeling — participants apply this learning to their own household objects at home.
  • Our Family Album Project assists households in organizing and presenting their own photographs and records. No document is submitted, altered, or filed on any client's behalf.
  • Our Household Archive Subscription supports households in maintaining an archive they themselves own and control.

We do not provide legal, financial, medical, or professional regulatory advice of any kind. Our work is organizational and educational only.

3. Bookings and Payments

All bookings are confirmed upon receipt of payment or a written agreement from our team. Prices are stated in Malaysian Ringgit (RM) and are inclusive of the materials listed in each service description. Prices are subject to change; the price applicable to your booking is the one confirmed at the time of your agreement.

  • Workshop fees are payable in full prior to the workshop date.
  • Family Album Project fees are payable in two installments: half upon agreement and half upon completion of the second session, unless otherwise arranged in writing.
  • Household Archive Subscription fees are payable annually in advance.

4. Cancellations and Rescheduling

We understand that circumstances change. Our general approach to cancellations is as follows:

  • Cancellations made more than 14 days before a workshop date may be rescheduled to a future session at no additional charge.
  • Cancellations made within 14 days of a workshop date may be rescheduled subject to availability; if rescheduling is not possible, a credit note of 50% of the fee paid will be issued.
  • For ongoing project and subscription arrangements, cancellations should be communicated in writing. Work completed up to the date of cancellation will be invoiced at a prorated rate.

Heirloom Ledger reserves the right to reschedule a session where unforeseen circumstances prevent us from proceeding as planned. We will provide reasonable notice and offer an alternative date.

5. Intellectual Property

Any printed materials, cataloging manuals, and archival reference guides produced by Heirloom Ledger and included in our workshop or project services remain the intellectual property of Heirloom Ledger. Clients are welcome to use these materials for personal household cataloging purposes.

The family albums, catalogs, and records produced during a project belong entirely to the client household. Heirloom Ledger does not claim any ownership over client-owned objects, photographs, letters, or records.

You agree not to reproduce, redistribute, or commercially use Heirloom Ledger's workshop materials without prior written permission.

6. Confidentiality and Your Records

Heirloom Ledger treats all household records, photographs, and objects encountered during project sessions with discretion. Team members working in your home are bound by a duty of care with respect to personal and family materials.

We do not copy, share, or retain scanned images or reproductions of household documents beyond what is required to produce the agreed deliverable. Please refer to our Privacy Policy for further detail on data handling.

7. Client Responsibilities

Clients engaging project services that take place in the household agree to:

  • Provide a suitable working space for the team during scheduled sessions.
  • Ensure that any household members who may be present during sessions are aware of the arrangement.
  • Ensure that all objects and records made available to us are ones you have the right to organize and catalog.

Clients attending workshops are responsible for their own participation and for the application of workshop learning to their own collections at home. We do not supervise or verify how participants use their cataloging knowledge after a workshop.

8. Limitation of Liability

Heirloom Ledger's liability in connection with any service is limited to the fees paid for that service. We are not liable for any indirect, consequential, or incidental loss arising from the use of our workshops or project services.

We take reasonable care when handling household objects during project sessions. In the unlikely event that an item is damaged while in our care, we will discuss the matter with the household directly. Our liability is limited to reasonable repair or replacement costs for items damaged through our direct negligence.

We do not accept liability for any decisions made by clients on the basis of information or methods discussed in our workshops or project work.

9. Third-Party Suppliers

Some printed materials, archival label sets, and album components used in our services are sourced from third-party suppliers. While we select suppliers carefully, Heirloom Ledger is not responsible for any defects in third-party materials beyond our reasonable control.

10. Governing Law

These Terms and Conditions are governed by the laws of Malaysia. Any disputes arising in connection with these terms or our services are subject to the exclusive jurisdiction of the courts of Malaysia.
